The Virginia Rental Application (Form NVAR – K1008) is a form essential to the tenant application process and is used to determine if an applying tenant has a reputable renting background and the qualifications necessary to lease a residential unit.

In Virginia (and the US as a whole), ensuring the entire screening process remains free of any potential discrimination is essential. To stay on top of this, only asking questions that apply to renting matters is important; questions pertaining to gender, race, nationality, age, and other characteristics that cannot be controlled by the applicant are strictly prohibited.



State Laws

Maximum Application Fee (§ 55.1-1203): Application fees cannot exceed $50. For public housing, the fee cannot be more than $32. The landlord can charge an additional deposit (up to their choosing) in addition to the $50) fee – however, if the applicant is rejected, the landlord must refund the additional deposit amount (not including the original $50). For deposits made by cash, the landlord has ten (10) days to return the deposit. For other methods of payment, the landlord has twenty (20) days to return the fee.

Security Deposits (§ 55.1-1204): Tenants cannot be required to pay more than two (2) months’ of rent as a security deposit.


Included Fields

With the form, the tenant will be required to provide a significant amount of information. It is important landlords receive applications completed in full, as it is not only required to run credit and criminal reports, but it shows that the tenant is confident in their qualifications by completing all required fields. Landlords should understand exactly what is requested in the form to ensure they can answer any and all questions from applicants.

Information required of the applicant includes:

Contact information

  • Name, DOB, SSN
  • Current and previous addresses
  • Landlord(s) contact information
  • Reason(s) for leaving

Employment information

  • Current and previous employer names
  • Addresses of employers
  • Dates of employment
  • Contact info of supervisors
  • Incomes

Proof of Income

  • Recent pay stubs
  • Last two (2) years of either W-2s or 1040s
  • LES Copy & orders for military

List of assets and liabilities

  • Type of loan/asset
  • Creditor, balance, and monthly payment (for liabilities only)
  • Amount (for assets)

Information on tenants sharing the rental

  • Full name(s)
  • Gender(s)
  • DOB
  • Relationship to applicant

At least one (1) designated contact

  • Name
  • Address
  • Phone number
  • Relationship to the applicant

Once the applicant has completed the form, they will need to attach a non-refundable application fee of the property manager’s choosing. If they wish to make it refundable in the case the applicant is rejected, the form can be edited to allow for such.
